The 30-day cadence
DAY 0 — Call or meeting Action: Send the recap email within 24 hours. Confirm the next step and date. DAY 2 — Email Deliver whatever you promised: proposal, references, pricing, samples. DAY 5 — Email Short bump. "Any questions on the proposal?" Add one useful thing. DAY 8 — Phone Call, don't email. Leave a voicemail if needed: "Following up on [Offer] — call me back on [Phone] or reply to my email, whichever's easier." DAY 12 — Email Offer a smaller starting point or an alternative scope. DAY 16 — Social or personal touch Engage genuinely with something they've posted, or send a relevant resource with no ask attached. DAY 20 — Email The direct question: "Should I keep this open or close your file?" DAY 25 — Phone Final call. Ask for a decision either way. DAY 30 — Email Clean close-out. Leave the door open and move them to the long-term nurture list. DAY 90 — Email Check-in with no pitch: "Thinking of you — how did [their project] end up going?"
